Truck Wheel Inspection Checklist: Pre-Shipment & Goods-In QC
Two checklists an importer can hand to an inspector today: what to verify at the factory before the balance is paid, and what to re-verify at your warehouse before the wheels enter stock — each item with method, acceptance criterion and tool.
Why two checklists, not one
A steel wheel pre-shipment inspection (PSI) is the last moment a defect is the supplier's problem at the supplier's cost; once the container is sealed, an out-of-tolerance bore becomes an argument across two time zones on top of freight already paid. The goods-in check covers what a PSI never saw — flange dents from a shifted stack, strap cuts through the coating, white rust from a wet container — and builds the record a claim stands on.
Both lists assume an approved drawing for every size on the order: nearly every acceptance criterion below reads "against the tolerance on the approved drawing", because the tolerance belongs to the drawing you signed, not to a generic number in a guide.
What to have in hand before the inspector walks in
Documents
- Approved drawing per size, with tolerances and runout limits
- Proforma invoice with marking, packing, inspection and claim terms
- Supplier's draft packing list, quantity per size and brand
- Agreed sampling plan and AQL, or agreed fixed percentage
- Approved colour sample or RAL reference, plus the coating specification

Checklist 1 — Pre-shipment inspection (PSI) at the factory
Documents come first: a packing list that does not match the stamping stops the inspection before any measuring begins.

"As specified" and "as agreed" refer to your proforma invoice and coating specification. Where they are silent — colour tolerance, rust-preventive type — the inspector cannot reject on it.
Notes on the harder rows
Measure PCD at more than one hole pair and the bore in two directions; a single reading hides ovality. Runout is the most telling number on the sheet: a wheel that passes PCD and bore but runs out usually has a forming or welding fault the fleet will later blame on the tyre. The rim butt weld sits under the bead seat, so untrimmed flash becomes a slow leak on a tubeless wheel — the fingernail test is not a formality, and weld process control is exactly what IATF 16949 audits. On coating, measure inside the rim and at hand holes and the valve hole, where film thins first and rust starts in a coastal warehouse. Common bolt patterns are in the PCD chart.

Sampling plan: how many wheels to pull
Use ISO 2859-1 (AQL attribute sampling; its US counterpart is ANSI/ASQ Z1.4) at a general inspection level, with the AQL values for critical, major and minor defects written into the proforma invoice — or agree a fixed percentage per size with the supplier. The numbers are a commercial term between the two of you; what matters is that the plan is agreed before the inspector arrives and the report records the sample size actually drawn.
Three checks are 100% whatever the plan says: count per size, stamping and brand per pallet, packing condition. Dimensions, welds and coating are sample checks. A defect classification to agree in advance:
- Critical — affects function or safety: cracks, weld defects, PCD, bore or offset outside tolerance, missing or wrong load stamping, bead-seat damage on a tubeless wheel.
- Major — runout outside tolerance, coating below minimum, adhesion below the agreed class, wrong colour, illegible date code.
- Minor — cosmetic scratches not reaching bare metal, light spatter, marking slightly off position.
Checklist 2 — Goods-in QC at your warehouse
The goods-in wheel QC checklist re-verifies what transit can change, cross-checks the shipment against the PSI record, and builds the file a claim rests on. Do it before the wheels are mixed into stock — afterwards the batch cannot be isolated.

The tyre fit test is the one goods-in item worth the labour every time on tubeless wheels: it proves bead seat and butt weld together in minutes, with your own fitter as witness.
When something fails: the non-conformance workflow
A claim succeeds or fails on its paperwork in the first 48 hours:
- Quarantine. Move affected wheels to a marked area and tag them. Nothing under claim enters stock or reaches a customer.
- Photograph. Per defect type: a wide shot, a close-up with scale reference, the stamping and date code, the packing-list line.
- Quantify. Affected quantity per size and defect type, classified critical / major / minor; note whether it was visible at PSI or is transit damage — that decides who pays.
- Notify in writing within the claim window in the proforma invoice, with photo pack and count. WhatsApp for speed, email the same day for the record.
- Agree the disposition in writing: local rework at an agreed cost (typical for cosmetic coating damage), sort-and-accept with a credit, replacement in the next shipment, or return.
- Close out. For any critical defect, ask for a corrective-action report naming the cause and the change made — replacement parts alone do not make the next container different.
